Accessing Email Templates

  1. Open OKICRM Software:

    • Launch your web browser.
    • Navigate to the OKICRM Software URL: yourcompany.okicrm.app.
    • Log in with your user credentials.
  2. Navigate to Email Templates:

    • In the left sidebar, scroll down and click on Settings.
    • Under App Settings, click on Email templates.

Configuring Email Templates

  1. Select Template Category:

    • Once in the Email templates section, you will see various categories on the left panel. These categories include:
      • Account
      • Project
      • Invoice
      • Estimate
      • Order
      • Ticket
      • Message
      • Common
  2. Choose a Template to Edit:

    • Click on the desired category to expand it.
    • For example, if you want to edit an invoice email template, click on Invoice.
  3. Edit the Template:

    • After selecting a template category, a list of specific templates under that category will be displayed.
    • Select the specific template you want to edit.
    • The template editor will open on the right side of the screen.
  4. Modify Template Content:

    • In the template editor, you can customize the email content as needed.
    • Use the editor to add or modify text, insert placeholders, and format the content.
    • Ensure that the template includes all necessary information and maintains a professional tone.
  5. Save Changes:

    • After making the necessary modifications, click the Save button at the bottom of the editor to apply the changes to the template.
  6. Test the Template:

    • It is advisable to test the modified template to ensure it works correctly.
    • Send a test email to verify the appearance and functionality of the template.

Additional Tips

  • Placeholder Usage:

    • Use placeholders to dynamically insert information such as customer names, project details, and order numbers.
    • Ensure placeholders are correctly formatted to avoid errors.
  • Consistency:

    • Maintain consistency in the design and language across different email templates to ensure a cohesive brand image.
  • Review and Update:

    • Periodically review and update email templates to keep the content relevant and up-to-date with any changes in company policies or branding.
